How to Off-Hire an Access Machine from Australian Access Hire (AAH): A Complete Guide

When your project is finished or you no longer need the equipment on-site, it’s important to follow the correct process to off-hire your access machine. Off-hiring ensures the equipment is collected promptly, hire charges stop at the right time, and the machine is returned safely and in good condition.

This guide covers everything you need to know about off-hiring scissor lifts, boom lifts, telehandlers, forklifts and other access equipment hired from Australian Access Hire (AAH).

What Does “Off-Hire” Mean?

Off-hire refers to the formal process of ending your equipment rental.
Once off-hired, the machine is placed into the queue for pickup and your billing cycle is closed.

Off-hiring is NOT automatic when you finish using the machine, you must notify AAH so we can arrange collection.

1. Contact AAH to Request Off-Hire

When you no longer need the equipment, contact Australian Access Hire via:

  • Phone
  • Email
  • Your hire coordinator

Provide the following details:

  • Company name
  • Machine type (scissor lift, boom lift, telehandler, forklift, etc.)
  • Asset/unit number
  • Job site address
  • Preferred off-hire date and time
  • Whether the machine is ready for immediate pickup

The off-hire time is important because it determines when hire charges stop.

2. Ensure the Machine Is Accessible for Pickup

To avoid delays or additional fees, the machine must be:

  • Parked in an accessible area
  • On flat, stable ground
  • Clear of obstacles, materials or vehicles
  • Not locked behind gates or inside buildings unless access is arranged
  • Outside working areas or exclusion zones

If the driver cannot access the machine, pickup may be delayed.

3. Prepare the Machine for Return

Before pickup, make sure the machine is:

  • Fully lowered (boom or scissor platform retracted)
  • Turned off
  • Keys removed and left in the designated spot or key safe
  • Charged overnight (for electric scissor lifts/booms)
  • Refuelled (for diesel/LPG machines if required under your hire agreement)
  • Cleaned of excessive dirt, mud or concrete build-up

Proper preparation helps avoid damage charges and speeds up collection.

4. Complete a Final Visual Check

Doing a quick walk-around helps identify any issues before the machine returns:

Look for:

  • Damage that occurred on-site
  • Leaks or obvious mechanical issues
  • Missing parts, pins, gates or keys
  • Tyre condition
  • Warning lights or alarms

If you notice anything unusual, let AAH know during the off-hire request.
Transparency helps us process the return quickly and fairly.

 5. Remove All Workplace Items

Ensure the machine is empty before collection:

  • Toolboxes
  • Tools
  • Materials
  • Safety gear
  • Work notes or tagouts

Any items left in the platform or cabin may be lost during transport.

6. AAH Arranges Pickup

Once off-hired, AAH will:

  • Schedule transport
  • Assign a pickup window
  • Notify you (if required)
  • Collect the machine from your site

Transport times may vary depending on location, workload and site conditions, but we always aim for prompt turnaround.

7. Hire Charges Stop at the Time of Off-Hire

Your hire charges stop:

  • When you contact AAH to off-hire the machine
  • During business hours
  • Provided that the machine is ready and accessible

You will receive a final invoice that reflects the hire period up to the off-hire time.

8. AAH Inspects the Machine After Return

Back at the workshop, AAH technicians will:

  • Inspect the equipment
  • Assess wear and tear
  • Check for damage
  • Ensure the machine is ready for the next hire

If damage beyond normal wear is present, AAH will provide a report outlining findings.

Why Clear Off-Hire Procedures Matter

Following proper off-hire steps ensures:

  • Accurate billing
  • Fast collection
  • No unexpected charges
  • A safer site
  • A smooth process for your team and ours

A few minutes of preparation can save time, money and headaches.
